Reading With Ms. Joy — Services Agreement

Terms of Agreement

This agreement outlines the terms of enrollment for structured literacy coaching sessions with Ms. Joy, delivered online via Zoom. It is designed to establish a shared understanding and set clear expectations between Ms. Joy and the family, ensuring a supportive and productive learning experience for every student.

Reading With Ms. Joy serves students in grades 1 through 8, approximately ages 6 to 14

All sessions are conducted via Zoom using Ms. Joy's designated meeting ID, provided upon enrollment. Families do not need to download or install the Zoom app. Students may join directly through the Zoom website by entering Ms. Joy's meeting ID from any device with a camera, microphone, and stable internet connection.

Younger students will learn to use the Zoom annotation toolbar during sessions as an interactive learning tool. Parents are encouraged to help their child locate and practice accessing the toolbar before sessions begin.

All families register through TutorBird, Ms. Joy's official student management platform. Upon enrollment, families will receive login instructions and will need to create a password to access their student portal. Through TutorBird, families can view their scheduling calendar, upcoming sessions, and account information.

Reading With Ms. Joy provides structured literacy coaching and educational instruction. These services are not a substitute for medical, psychological, or therapeutic services, and Ms. Joy does not provide formal diagnoses of dyslexia or any other learning difference.

Screening tools used during coaching are for instructional planning purposes only and do not constitute a formal evaluation. Families seeking a formal diagnosis are encouraged to consult a licensed psychologist or neuropsychologist.

Ms. Joy's coaching services are delivered independently, and communication is maintained directly with the enrolling family. Ms. Joy does not participate in school team meetings, IEP processes, or direct correspondence with schools or teachers. Parents are welcome to share relevant coaching insights with their child's school team at their discretion. Coaching services do not replace interventions outlined in 504 Plans or IEPs. Ms. Joy's role is to support your child's literacy growth as an independent educational coach working in partnership with your family.

Reading Growth Plan 

The Reading Growth Plan is available as a School-Year Plan (10 months). Enrollment requires a minimum commitment of one full academic school year, September through June.

Session Commitment & Flexibility

Session frequency varies by plan (Standard, Gold, or Platinum) as outlined in your enrollment agreement. All sessions are 30 to 40 minutes in length.

Each family is enrolled in a Reading Growth Plan with specific sessions and time slots allocated for their child. Tuition is matched to that plan, and the commitment remains for the full academic school year, regardless of whether all sessions are attended.

If a session needs to be modified, rescheduling within the same billing cycle is always the preferred solution rather than a reduction of sessions. Flexible adjustments are welcome; however, the total number of monthly sessions cannot be reduced mid-plan.

Consistent attendance is strongly encouraged, as frequency and regularity are key to your child's reading progress.

 

Payment & Scheduling Policies

All coaching sessions are prepaid monthly. Because your child's slot is reserved exclusively for them, prepaid sessions are non-refundable once payment has been made.

Discontinuing Services

If coaching services are discontinued, no refund will be issued for unused prepaid sessions. To discontinue your Reading Growth Plan, at least one month's written notice is required before the plan's expiration date.

As a courtesy, up to two unused sessions may be carried over to the following cycle upon written confirmation from Ms. Joy. Any remaining unused sessions beyond that will be forfeited.

This allows for a smooth, respectful transition for both the family and Ms. Joy.

Writing Roadmap

The Writing Roadmap program follows the same prepaid, non-refundable policy. One month's written notice is also required to discontinue this program.

Cancellation & Rescheduling Policy

  • 24-hour notice is required to cancel or reschedule a coaching session.

  • Sessions will be forfeited if there is a no-show (defined as arriving more than 10 minutes late) or if cancellation occurs within the 24-hour window.

  • If a session needs to be canceled by Ms. Joy, it will be rescheduled on a Friday within the current coaching cycle.

Attendance & Session Policies

  • No-shows (defined as arriving more than 10 minutes late) will result in forfeited sessions.

  • Late cancellations (less than 24 hours’ notice) are not eligible for makeup.

  • Missed time will not be extended; however, extra time may be added at Ms. Joy’s discretion when possible.

  • Makeup sessions may be granted for emergencies, depending on the plan type and availability.

Schedule Adjustments & Paused Sessions

Coaching sessions follow the academic school year, running from September through June. Schedules are adjusted for major holidays and summer break.

Short-term pauses are available for unexpected life events, emergencies, or holiday periods. If sessions are paused, the plan's end date may be extended by up to three weeks to make up for the interrupted time. This means your child's coaching plan continues beyond the original end date to account for the pause, rather than losing those sessions entirely.

Extensions beyond three weeks are reviewed on a case-by-case basis.

Billing & Communication Policy

Tuition Payments Invoices are sent via email before the 1st of each month, with tuition due on the 1st. Payments are accepted through PayPal and Zelle. Chronically late payments may result in the loss of reserved coaching slots.

Extended Parent Meetings Brief check-ins are always welcome. If a meeting exceeds 15 minutes, it may require scheduling and is subject to standard coaching fees.

Communication Guidelines

Ms. Joy uses WhatsApp as the primary channel for quick updates, scheduling notices, and brief questions. Please ensure notifications are enabled.

Included in tuition:

  • A brief voice note or written summary is sent via WhatsApp after each session, recapping key skills covered and guidance for home practice.

Quick WhatsApp messages and scheduling notices from parents are always welcome. However, ongoing coaching conversations or extended support between sessions are considered consultation time. These require a scheduled Zoom consultation call, billed at your standard session rate as outlined in your Reading Growth Plan.

Phone or video calls exceeding 15 minutes are treated as scheduled coaching calls and billed at your standard session rate

For Writing Roadmap families: the Diana Hanbury King Writing Skills Book A is purchased directly by the family and is not included in tuition.

Some instructional materials are included as part of your coaching plan. Additional materials or resources may be recommended or required to support your child's learning. Families will be informed in advance of any required or optional purchases.

If decodable readers are required as part of your child's program, families will be asked to purchase a copy for their child to use at home. In some cases, Ms. Joy may also request a second copy for use during coaching sessions, depending on availability. Materials may be physical books or digital licenses for access to specific digital libraries. Ms. Joy will specify which titles or platforms are needed upon enrollment.
